January 2007 - Changes Required To Websites And Electronic Documents

The government has recently issued new legislation extending the requirements for companies and Limited Liability Partnerships (LLPs) to provide certain particulars about themselves on their websites and in electronic versions of all documents.

The new legislation became effective from 1 January 2007 and there are penalties for those who do not comply.

The changes mean that companies and LLPs must disclose their name, place of registration, registered number and the address of their registered office on their websites. This information must already be included on business letters and order forms. The new legislation extends the requirements to include this information to such documents in electronic format. As so many of us now conduct business correspondence by email, this has implications for the amount of information that must be included.

Please do get in touch if you want any more clarification on this.

November 2006 - Accountants Switched Off Over Technology

The majority of accountancy practices are failing to embrace technology which could benefit their new and existing clients, according to a new report.

The survey by the Independent Association of Accountants Information Technology Consultants (IAAITC) found only a tenth of firms promoted their websites, while just 14% accepted e-mail enquiries from prospective clients. Among those that did offer electronic contact, more than 30% were not registered domain names but generic web-based addresses such as Hotmail, AOL and Yahoo.

The research also revealed that of the firms paying for prime positioning in the ICAEW's directory, 13 had out of date entries, one had merged over 6 months ago and now uses a different name, one didn't accept e-mails and another advertised its offshore office but gave no contact details for its local office.

The report said accountants need to embrace the technology adopted by their clients warning that the findings coincide with recent research from the Federation of Small Businesses showing a decline in the number of SMEs turning to accountants for business advice.

Dave Reynolds, IAAITC chairman, said: "There has been a worrying gulf between how quickly their SME customers have adopted the internet and the lack of dynamism on the part of the accountancy profession."

"A recent survey found that 67% of SMEs now have internet access and 98% of these will send emails rather than fixed voice calls in many situations. So if an accountancy firm itself is not embracing, experiencing and using the technology how can it possibly claim to be a 'business advisor' to its business clients?"

October 2006 - Firms Not Net Savvy

Only one in ten accounting firms are promoting their websites and just 14% are prepared to accept email enquiries from prospective new clients.

A survey of 1,000 firms by accounting IT association IAAITC has revealed the lack of use of the internet as a key part of accountants' offering to clients.

'It is difficult to understand how a firm of professional accountants can attempt to position itself as a firm of "business advisers" to its clients if they themselves ignore the Internet,' said IAAITC CEO Dave Reynolds, at the association's conference held today at the DTI; and sponsored by Accountancy Age.

Laurence Pyzer of Relate Software said: 'Accountants should have top-rate websites and provide a service (directly or indirectly) to help their clients with their websites. They should be using the Internet to provide on-line services to their clients and thereby provide encouragement to clients to do the same for their customers. They should be registering proper domains for their email servers and providing their clients with secure access to their own data.'

October 2006 - HR Made Easy!

HRmanager makes HR easy for your firm, helping you and your clients comply with employment law and giving you peace of mind.

What makes HRmanager different from other products available is the use of a simple online wizard that will personalise a staff manual for your business. You simply answer a series of questions, following clear guidance notes, and the programme inserts all of your details so that it becomes your own practical staff manual. This manual can be generated and distributed to your staff. The generated manual will contain links to all relevant forms (ie sickness and absence, etc). You can tailor and upload your own forms as required. When you want to update your manual just make any necessary changes and generate a new version. You can use it to set your own internal standards, supported by relevant policies and procedures. You can be confident of its relevance through regular updates that reflect changes in employment legislation.

HRmanager is simple to implement and ideal for all SMEs. Our system allows you to set-up unlimited client accounts for a fixed monthly fee. With little or no internal HR expertise you can provide a valuable service to your clients. HRmanager will provide many benefits to your clients’ businesses and a new income stream for your practice. If you are already offering HR support to your clients then the system is branded as your own in your own website. Clients would access your HR system via your website.

October 2005 - click4text revolutionises Website Accessibility

The Disability Discrimination Act (DDA) 1995 was introduced with the intention of comprehensively tackling the discrimination which many disabled people face. Changes to the DDA that came into effect in 1999 and 2004 have now created a legal duty for websites to be made accessible, this accessibility includes blind and partially sited users.

In order to comply with this legislation we have developed a new service called click4text which simply translates a graphic based website into a text only version, without having to maintain a separate text only site. It is accessed via a text only link at the top of each page. Different contrast options and font sizes are available for partially sited users and the text is generated in such a way that their own browser settings will define the text size they require. The pages are also suitable for screen-reader software (used by blind users) to read.

click4text is included as standard in all of our totalSOLUTION websites, ensuring not only that your website is compliant but also information about your services is easily available to the disabled user market. The text only version of your site will also work very well on mobile and handheld devices. The number of people who access the Internet using hand-held devices and mobile phones is growing - did you know that over 13 billion pages were accessed via mobile phones in 2004 (source: Mobile Data Association)?

Does your current website comply with the Disability Discrimination Acts? Odds are that it won't! The Disability Rights Commission launched a formal review of 1000 websites and found that over 80% were next to impossible for disabled people to use.

Upgrade to totalSOLUTION today to make sure your website is DDA compliant.
